This Privacy Policy explains how G Core System Solutions collects, uses, shares, and protects your personal information in connection with Stellar and our related websites and services. Please read it carefully to understand our practices.

The Stellar Employee Portal Mobile App

This section describes information handled specifically by the Stellar Employee Portal mobile app, which employees of subscribing companies use to record attendance and manage their own requests. Your employer decides which of these features are switched on, and your employer is the controller of the employment records listed below.

Information the app collects:

  • Sign-in credentials — your Employee ID and a numeric PIN, used only to sign you in. PINs are stored solely in an irreversible hashed form.
  • Location — when your employer requires location-verified attendance, the app reads your device’s GPS location at the moment you clock in or out and sends the coordinates (and the city and province derived from them) so the system can confirm you are within an approved work area. Location is read only at that moment, never in the background, and is not collected for employees flagged as working from home. The coordinates are kept with the attendance record.
  • Camera images for identity verification — when your employer requires photo-verified attendance, the app takes a photo of your face when you clock in or out and sends it to our servers, where it is compared with a reference photo on file to confirm your identity and to check that a live person is present. The clock-in photo is used for that check and then discarded — it is not stored. Only the outcome (a match score and a pass or fail) is kept with the attendance record. A reference photo may be captured during onboarding and is stored for as long as your account is active.
  • Device information — a device identifier and basic device details, used to tie your account to your device (your employer may limit how many devices an account can use) and recorded in security logs.
  • Push notification token — if you turn on notifications, the app registers a token with Apple’s or Google’s push service so your employer can send you attendance reminders and approval updates.
  • Employment records — attendance and daily time records; leave, overtime, official-business and correction requests, with any files you attach; leave balances; schedules; payslips and payment history. These records belong to the employment relationship between you and your employer.
  • Diagnostic and security logs — records of sign-ins, device registrations and attendance events, with timestamps, kept to protect accounts and investigate suspected fraud.

Device unlock (Face ID, Touch ID, fingerprint). If you turn on biometric unlock, that check is performed entirely by your device’s operating system to release a credential stored on the device. The app never receives, and never transmits, your fingerprint or face-scan data.

How this information is used. Only to operate the features above — recording and verifying attendance, routing your requests for approval, showing you your own payroll and schedule information, sending the notifications you asked for, and keeping accounts secure. App information is not used for advertising and is not sold.

Who it is shared with. Your employment records are made available to your employer’s authorized HR, payroll and approver staff, because those records are the employer’s. Information is processed on infrastructure operated for us by service providers under confidentiality obligations. Push tokens are shared with Apple and Google only to deliver notifications. We do not share app information with anyone else except where required by law.

Your controls. You can turn off location and camera access at any time in your device settings; the attendance features that rely on them will then stop working and you should arrange another way to record attendance with your employer. Notifications can be turned off in your device settings. To access or correct your own employment records, contact your employer, who administers them.
